EXECUTIVE ASSISTANT

At the Washington, DC Economic Partnership (WDCEP), the Executive Assistant to the President is responsible for the overall operation and coordination of the President’s calendar and related daily administrative functions. The essential purpose of this position is to provide executive support to the President/CEO. The Executive Assistant must be able to multi-task, be mission- and results-driven, and be able to execute his or her responsibilities in a very fast-paced environment. The ideal individual should exercise good judgment, possess strong written and verbal communication, administrative, organizational and time management skills. The Executive Assistant should be able to work independently and have discretion with handling confidential information.

RESPONSIBILITIES

The Executive Assistant will be responsible for the following areas of work:

  • Assisting the President & CEO in sorting and distributing communications in a timely manner with the organization’s Board of Directors.
  • Schedule and maintain President & CEO calendar.
  • Assist with preparing documents for Board meetings, trainings, and other meetings
  • Create and update records ensuring accuracy and validity of information.
  • Perform front office duties when needed.

ADMINISTRATIVE                             

  • Completes a broad variety of administrative tasks for the President and CEO including: organizing documents for WDCEP Board of Directors, managing an extremely active calendar of appointments;  composing and preparing correspondence that are sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for  meetings.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President and CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

COMMUNICATIONS                      

  • Communicates directly, and on behalf of the President, with Board members, donors, staff, and others, on matters related to President’s programmatic initiatives.
  • Works closely and effectively with the President to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
  • Coordinates a variety of special projects for the President some of which may have organizational impact.
  • Assist President & CEO with Board Communication
  • Assist with preparing documents for Board meetings, trainings, and other meetings
  • Assist with securing locations for conferences, trainings and special events
  • Assist with coordinating volunteers and vendors for special events.
  • Assist with coordinating event and meeting travel for management and staff, as needed

Board of Directors

  • Assist with BOD MOU master spreadsheet updates / maintenance
  • Assist with BOD Welcome Packages
  • Assist with BOD Updates email communiques
  • Assist with BOD Meeting planning, book, deck and meeting production
  • Assist with drafting bi-monthly board meeting minutes for President & CEO and board approval.

Event Support

  • Assist with registration and invitations for all WDCEP events.
  • Assist overseeing registration desk at all WDCEP events.
  • Assist with collection of registration fees for all events.
  • Input registrants into SharePoint after program.
  • Assist with program follow up tasks, as needed.

Perform other related duties as needed

Skills/Qualifications:

  • Possession of a minimum of 2+ years of experience as an Executive Assistant reporting directly to senior management.
  • Strong organizational skills.
  • Good communication skills, both verbal and written.
  • Exposure to sensitive information requires considerable use of tact, diplomacy, discretion, and judgment.
  • Strong computer proficiency.
  • Friendly and professional demeanor.
  • Ability to work well independently and on a team.
